Who sees what: client and task access
By default, everyone on the team sees all of the company's clients, projects, and tasks. If you want someone to see only the clients they work on, turn off the Ver todos os clientes e tarefas (View all clients and tasks) permission in that person's role. From then on, they only see what they're linked to.
What counts as a link
With the permission off, a person sees a client when they:
- are the client's account manager;
- are on the Equipe do cliente (Client team);
- are on one of the client's projects;
- are assigned to an active task for the client.
For that client, they see the projects and all tasks. They also still see the tasks they created and the ones assigned to them. In the CRM and in leads' WhatsApp conversations, they see only the leads they own, created, or that became one of those clients.
How to limit what a role sees
- Open Usuários → Tipos de Usuário (Users → User types).
- Select the role.
- In the Clientes (Clients) group, turn off Ver todos os clientes e tarefas.
- Check in Usuários → Membros (Users → Members) that the right people have that role.
How to give access to a specific client
- Open the client in Clientes.
- Go to the Gestão (Management) tab.
- In the Equipe do cliente block, click Adicionar pessoa (Add person) and choose who should see this client.
To remove someone, use Tirar da equipe (Remove from team). Anyone who's already the account manager or on a project or task for the client can see it without being on the team.
What about other people's tasks?
There's another permission, in the Tarefas (Tasks) group: Ver tarefas de todos os responsáveis (View tasks of all assignees). Without it, the person can only filter the task list by Minhas tarefas (My tasks).
Frequently asked questions
Does this apply to the owner and admins?
No. The owner and admins always see everything. The rule also changes nothing for client portal users, who already see only their own client.
Does the rule apply to AI agents and search?
Yes. The filtering happens on the server and applies to lists, search, reports, files, and whatever AI agents look up on the person's behalf.
If the person creates a new client, do they lose sight of it?
No. A restricted user who creates a client is automatically added to that Client team.
