How to invite an external guest to a meeting

To bring in someone who doesn't have a Scrumboards account, create a link de convidado (guest link) inside the meeting. The person opens the link, types their name, and joins the call and the meeting chat. Only the meeting's creator can create the link and accept guests.

Create the link

  1. Open the meeting in Rooms > Reuniões (Meetings).
  2. Click Gerar link de convidado (Create guest link) and confirm with Gerar link (Create link).
  3. Choose whether Pedir aprovação para entrar (Require approval to join) is on (recommended) or off.
  4. Use Copiar link de convidado (Copy guest link) and send it to the person.

What the guest sees

  1. They open the link and see Você foi convidado para uma reunião (You've been invited to a meeting).
  2. They type their name in Seu nome (é o que a sala vai ver) (Your name, as shown in the room) and can join with their microphone off.
  3. If approval is on, they wait at Aguardando alguém do time liberar (Waiting for someone on the team to let you in).

In the room, the guest only sees the meeting chat from the moment they joined. They have no access to anything beyond that meeting.

Approve people who are waiting

When someone asks to join, you see the notice Alguém está pedindo para entrar (Someone is asking to join) and the Esperando para entrar (Waiting to join) list. Click Admitir (Admit) or Recusar (Deny). Denying prevents that request from coming back.

Close the door

  • Rodar o código (Rotate code): creates a new code and the current link stops working. People already in the room stay.
  • Remover (Remove) a guest: takes the person out of the room; you can remove and rotate the code at the same time.
  • Desligar convidados (Turn off guests): ends link access.

The link expires automatically when the meeting ends.

Frequently asked questions

I sent the link to the wrong person. What now?

Use Rodar o código. The old link stops working immediately, and you can copy the new one.

Does the guest need to install anything?

No. All they need is a browser with camera and microphone access allowed.

I turned off approval. Do people already waiting get in automatically?

No. People already waiting still need a click on Admitir; only new guests join directly.
