How to Connect ChatGPT to Your Company's Management System (MCP), Step by Step
Paul Boards ·
To connect ChatGPT to your company's management system, you add the system's MCP address as a custom server in ChatGPT, sign in with your own login through OAuth and choose the access level. In Scrumboards, the address is https://scrumboards.com.br/api/mcp. After that, you ask in plain language, for example “which of client X's tasks are due this week?”, and ChatGPT answers with the data you already have permission to see.
Scrumboards connected agents are in a pilot with select companies. This guide explains what MCP is, walks through the steps in ChatGPT, covers what you can ask and which safeguards protect your company's data. The same process works for Claude and Codex.
What is MCP
MCP (Model Context Protocol) is an open standard for connecting AI applications to external systems, according to the protocol's official documentation. In practice, it lets ChatGPT or Claude query data and take actions in a system, like listing tasks or creating a project, without you copying and pasting information into the conversation.
The management system exposes an MCP server with tools, and the AI assistant calls those tools when it needs them. The server decides what the assistant can do, based on your login.
What you need before you start
- A Scrumboards account in a company that's part of the connected agents pilot.
- A ChatGPT account that supports custom MCP servers. Availability varies by plan and may change. Check OpenAI's help center.
- If your ChatGPT account is a business account, an administrator may need to enable custom connectors.
Step by step in ChatGPT
- Open the connectors or plugins area in ChatGPT. In OpenAI's current documentation, the path starts at chatgpt.com/plugins. Menu names change often, so look for the option to add a custom MCP server.
- Choose to add a custom MCP server. Give it an easy name, like “Scrumboards.”
- Paste the address. Use https://scrumboards.com.br/api/mcp.
- Select OAuth as the authentication method. ChatGPT opens the Scrumboards login screen. You sign in with your usual account, without copying any key.
- Choose the access level. The options are read only, read and create, or full. To start, “read only” is the safest.
- Choose the company. If you belong to more than one company, you can limit the connection to one of them or allow “all my companies.”
- Review ChatGPT's warning and finish. OpenAI shows an alert about custom servers before creating the connection.
- Test with a simple question. “List my active projects in Scrumboards.”
The detailed steps for each assistant, including Claude and Codex, are inside Scrumboards, in the connected agents area.
Start with the system. Create your company account, organize clients and projects and request access to the connected agents pilot. Open your company account on the Free plan.
What you can ask ChatGPT
Scrumboards tools cover tasks, projects, clients, reports, calendar and CRM. Some requests that work well day to day:
- “Which of my tasks are due by Friday, by client?”
- “Create five tasks in the store launch project, one for each post this week, due Wednesday.”
- “Summarize the real estate client's monthly report and tell me which deliverables were late.”
- “Show the posts scheduled on the gym's calendar for next week.”
- “Which leads entered the pipeline this week and what stage are they in?”
- “Write a draft email to the client with the status of the deliverables.” The draft is saved, and it's only sent after you approve it.
An example: the project manager opens ChatGPT on Monday morning, asks for the list of overdue tasks for her clients, asks for a summary by client and creates the week's tasks in bulk. Work that used to mean opening four screens comes out of one conversation, and everything is recorded in Scrumboards.
The safeguards that protect your company
The agent sees only what you see
The connection uses the same permissions as your account. If you don't have access to finance, neither does ChatGPT. If you're assigned to five clients, it sees those five. The rule is enforced on the Scrumboards server and doesn't depend on instructions in the prompt.
Email only goes out with human approval
The assistant can read and draft Scrumboards emails. Sending only happens after the person approves it.
Activity log and usage limits
Every action taken through the connection is logged, and each connection has a usage limit. This lets you check what was created or changed and by whom.
Disconnect at any time
You can end the connection whenever you want, and access stops immediately.
Best practices for the first week
- Start with “read only.” Spend a week on queries and summaries. Once the team trusts the answers, move up to “read and create.”
- Be specific in your request. “Real estate client tasks due by Friday with a status other than completed” gets a more accurate answer than “what's overdue?”
- Check what was created. After requesting tasks in bulk, open the project in Scrumboards and make sure the due dates and owners are right.
- Look at the activity log. It shows every action taken through the connection. A glance once a week is enough to catch a misinterpreted request.
- Disconnect what you don't use. An idle connection is open access for no reason.
Common connection issues
ChatGPT doesn't show the custom server option
Check whether your ChatGPT plan allows custom MCP servers and, for business accounts, whether the administrator has enabled them. OpenAI changes menu names frequently.
The login opens, but the connection doesn't appear
Check whether your company is part of the connected agents pilot. Until the company joins the pilot, the connection isn't available to it yet.
The answer doesn't include a client you know
You're probably not assigned to that client in Scrumboards. The connection only shows what your account can see.
ChatGPT, Claude or Codex: which to use
| Assistant | Most common use with Scrumboards |
|---|---|
| ChatGPT | Everyday queries, report summaries and creating tasks in conversation |
| Claude | The same uses, for people who already work with Claude at the office |
| Codex | Development teams who want to look up and update tasks without leaving their coding workflow |
All three speak MCP. The choice depends on which assistant your team already uses.
What about the agents built into Scrumboards?
The MCP connection is for people who want to use their own assistant. Inside Scrumboards there's already BrainPilot, with ten agents with defined roles, like ORION for copywriting, PIXEL for design and POLARIS for reports. Both paths coexist and follow the same permissions.
Frequently asked questions
Do I need an API key to connect?
No. The connection uses OAuth: you sign in with your Scrumboards login.
What is the Scrumboards MCP address?
https://scrumboards.com.br/api/mcp.
Can ChatGPT see financial data?
Only if your account has finance permission. The connection inherits your permissions.
Can every company use it now?
Connected agents are in a pilot with select companies. To join, contact the Scrumboards team.
Can ChatGPT send email on my behalf?
It can draft it. Sending only happens after you approve.
Does it work with more than one company?
Yes. You can limit the connection to one company or allow all of yours.
Next step
For the connection to be useful, the system needs your work organized: clients, projects and tasks with due dates. See how the AI agent connection works, check the frequently asked questions and explore work management with Scrumboards.
